Customer story · Staffing technology

A staffing software company runs 13 modules on one Brain, and now develops it with its own team.

This company implements, integrates, and supports the software staffing firms run on. It connected its CRM, project and billing system, Microsoft 365, and meeting recordings to one private Brain, so signed deals become live projects without re-keying. Then it took the platform in-house, exactly as an owned platform should allow.

01The challenge

A small team, thousands of prospects, and knowledge in five places.

A small sales team was covering thousands of prospects across several product lines, mostly by hand. What the company knew about each client sat in the CRM, in email, in file shares, and in call recordings, and nobody had time to stitch it together before a meeting.

Delivery had the same problem in reverse. Every signed deal was re-keyed into the project system and the file shares, and client-satisfaction surveys ran on a form feeding a spreadsheet.

02What we built

One client record, and agents that work from it.

A company Brain

CRM, project and billing system, Microsoft 365 email, calendar, and files, meeting recordings, and contact enrichment in one place.

Live

Closed deal to live project

When a deal closes, the agent reads the statement of work, verifies the company, and sets up the project and its folders.

Live

Meeting prep, quoting, and campaigns

Agents that pull the full client history before a call, draft quotes, and build outreach campaigns for a person to review.

Live

Client-satisfaction surveys

Sent from each account manager's own mailbox, with low-score alerts, dashboards, and notes written back to the CRM.

Company-wide

Branded client deliverables

Release-note summaries, industry briefs, and adoption dashboards drafted for the company's own clients.

Ready for rollout
03How ownership worked

Built to be handed over.

The constraint
What most companies do
What we built
Where it runs
The vendor's platform, on the vendor's terms.
The company's own cloud, with code in the company's name.
Who can change it
Only the vendor.
The company's own developers took over day-to-day development.
What feeds it
A copy of the data in someone else's system.
Live connections to the CRM, project system, Microsoft 365, and recordings.
How it improves
A feature roadmap.
Changes shipped against feedback from the people using it, item by item.
04The result

A platform the company owns, runs, and keeps building.

13
modules on one platform

Satisfaction surveys went live company-wide, signed deals set themselves up as projects, and meeting prep pulls the full client history.

What changed

One record behind every conversation

Client emails and transcripts attach themselves to the right project, so sales, delivery, and client success start from the same history.

What's next

In the company's hands

The company now runs and develops the platform itself, with nBrain available when it wants help. No license, no lock-in.
