Customer story · Industrials and chemicals

An industrials and chemical supplier had four use cases live on real data by day 78, then took the platform in-house.

A founder-led specialty chemicals manufacturer and distributor wrote its own use cases, each with acceptance criteria, before the first line of code. nBrain built all four on the company's ERP, CRM, and call data inside a three-month term, and the handoff to the company's own team was in the contract from day one.

01The challenge

A sales method on paper, and revenue signals noticed too late.

The company sells through a regional sales force. Its discovery method was taught in training, but nobody could see whether it happened on calls. Inbound leads moved between the website, marketing, and the CRM, and some slipped through. Forecasts were rep estimates. When a steady customer slowed its reorders, the company usually found out after the revenue was gone.

The CEO did not want an exploratory AI project. The goal was a defined set of outcomes, each with a way to tell when it was done.

02What we built

Four use cases, each with a written definition of done.

Sales coaching on every call

Calls are transcribed and checked against the company's own discovery method, with a pitch plan drafted for the rep.

Live

Lead chain of custody

Every inbound lead lands in the CRM with an owner, an acknowledgment, and follow-up deadlines, so none go quiet.

Live

Revenue forecast by product family

ERP shipment history and CRM pipeline combined into one forecast, using a framework the company already trusted.

Live

Revenue watch

Watches shipment patterns for overdue reorders and product-family gaps, and opens a follow-up task for the rep.

Live

Company knowledge agent

Product documents, technical data, and company content in one place, with a source on every answer.

03How it was set up

The handoff was designed before the build started.

The constraint
What most companies do
What we built
Scope
Explore first, define later.
Four client-written use cases, each with acceptance criteria, before kickoff.
Ownership
Code and data in the vendor's platform.
Code and infrastructure in the company's own accounts from day one.
Models
One vendor's model for everything.
Each task routed to the right model, billed to the company's own accounts at list price.
The end of the term
A renewal conversation.
A written handoff to the company's own team, built into the contract.
04The result

Live on real data, then in the company's own hands.

Day 78
all four use cases live on real data

Five days before the three-month term ended. Lead tracking alone ran against 238 live leads and logged 391 follow-up deadlines.

What changed

Sales activity the owner can see

Leads have owners and deadlines, calls are measured against the company's own method, and slowing accounts surface as tasks instead of surprises.

What's next

The company keeps building

At term end the company's technical lead took the platform over, as planned, and its own developers have kept adding modules since.
